ROLE OVERVIEW
Fidostra is seeking a KYC & Client Onboarding Specialist to support the onboarding and ongoing review of institutional clients, transaction parties and related entities.
The role combines document review, information gathering, screening, case coordination and direct communication with clients and professional counterparties. You will help ensure that onboarding files are complete, accurately documented and processed in accordance with Fidostra’s internal KYC, sanctions, conflict-management, data-protection and information-security procedures.
This is an execution-focused position requiring sound judgement, close attention to detail and consistent follow-through. The role operates within defined review, approval and escalation processes.
KEY RESPONSIBILITIES
- Coordinate KYC and client-onboarding processes for new mandates, clients and transaction parties.
- Obtain, review and maintain corporate documents, ownership information, identification records, authorised-signatory information and other required onboarding materials.
- Analyse legal-entity and ownership structures and support the identification and documentation of ultimate beneficial owners.
- Perform or support sanctions, politically exposed person and adverse-media screening using approved systems and procedures.
- Prepare complete onboarding files and case summaries for internal review and approval.
- Identify missing, inconsistent or higher-risk information and escalate matters in accordance with internal procedures.
- Liaise professionally with clients, lenders, borrowers, legal advisers and other transaction parties to obtain outstanding information and resolve onboarding queries.
- Maintain accurate case trackers, document repositories, review dates and audit trails.
- Support periodic and event-driven KYC reviews, including changes in ownership, control, authorised representatives or other relevant circumstances.
- Assist with client-acceptance reporting, management information and the continuous improvement of onboarding templates and workflows.
- Handle confidential and personal information in accordance with applicable data-protection and information-security requirements.
CANDIDATE PROFILE
- Typically two or more years of relevant experience in KYC, AML, client onboarding, customer due diligence or a related operational role.
- Experience gained within a bank, trust or agency provider, asset manager, fund-services business, corporate-services provider, law firm or other professional-services environment would be advantageous.
- Good understanding of corporate and legal-entity documentation, ownership structures and beneficial-ownership concepts.
- Familiarity with AML/KYC principles, sanctions screening, politically exposed person identification and risk-based escalation.
- Strong attention to detail and the ability to maintain accurate and complete records.
- Ability to manage several onboarding cases and competing deadlines in parallel.
- Clear, confident and professional communication with clients and internal stakeholders.
- High degree of discretion when handling confidential and personal information.
- Structured, dependable and proactive working style.
- Experience with KYC screening platforms, document-management systems and Microsoft 365 would be advantageous.
- A degree or relevant professional qualification in business, finance, law or a related discipline is desirable; equivalent practical experience will also be considered.
LANGUAGE SKILLS
- Professional fluency in German and English, both written and spoken, is required.
- Additional European language skills would be advantageous.
